Problem

I get a ton of meeting recaps into my email from meetings I didn’t attend. Those meeting notes are scattered and effectively unusable. And, to be honest, I basically never open them. Who has time.

But, that means that five months of recaps — customer data engineering syncs, a weekly marketing standup, a recurring three-person check-in, a few one-off calls — were in my, but nobody had ever pulled them together to see what was actually still open. And, all that valuable content was inaccessible to me as I did tasks in collaboration with Claude.

Steps to Solve

1. Used Town to pull meeting notes directly into Fulcra, so they lived in one connected place instead of scattered across individual transcripts.
2. Directed Claude to access those notes via the Fulcra MCP connector.
3. Had Claude pull together a summary of open action items across all recap files.
4. Verified Claude's reasoning. I asked it to show where a specific claim in its own response had come from, to confirm it was working from the actual data and not filling in gaps.
5. Directed Claude to make this a standing habit: review the recap history before making any future company related recommendation, rather than a one-time pull.

Solution

With the notes centralized in Fulcra via Town, I had Claude read them as one connected dataset instead of 22 separate documents, then:

• Had it write a standing instruction directly into Fulcra (/agents/instructions.md), so the rule lives with the data itself.
• Set up Claude's memory feature so the instruction persists across sessions without me restating it.

Result

• Surfaced who was carrying unresolved work across unrelated meetings — load that wasn't visible from any single recap.
• Found two meetings that only existed as share-links with no captured text — action items that didn't actually exist anywhere retrievable.
• Felt more confident that missing context wasn’t being lost.
• And, then could also access meeting notes as I switched from Claude to ChatGPT and back and forth with no need to reshare context.

None of this required new data! Instead, I focused on centralizing notes with Town and connecting context in Fulcra that already existed but was trapped across separate files and abandoned in email.
