Pitched to paid: how we built Track My Dealflow with an agent

If you make content for brands, you already know the hard part is managing everything around the content.

Track My Dealflow is a tool that keeps all of that in one place, from pitched to paid. It’s built on Fulcra, so your deals live in your own Fulcra account. Once it’s set up, you can run the whole thing by asking your own AI agent.

We built it in about two days, mostly by talking to an agent. Here’s what it does and how it came together.

‍

What it does

  • One board for every deal. Each deal moves through seven stages: Pitched, Negotiating, Signed, In progress, Posted, Invoiced, Paid. At the top you see what’s in play, what’s still owed to you and what’s been paid.
  • Drop in a contract. Upload a PDF and your agent pulls out the fee, payment terms, deliverables and due dates, usage rights and exclusivity, each with the exact sentence it came from. You check it and confirm before anything lands on your board. It flags terms; it isn’t legal advice.
  • Brands can share deals with you. If a brand works on Fulcra, it can share the deal with your account and it appears on your board by itself, updating whenever the brand updates it. Fulcra’s own creator program already works this way.
  • Reminders on your calendar. Due dates, follow-ups and payment dates go on your calendar, with an alert a day (or a week) ahead. Or download a calendar file for any calendar app.
  • Send to the brand. Each deal has a Send to brand button: pick a post link, a draft, an invoice or a note, check the pre-written email, and press Send. Your agent sends it from your own email.
  • Posts land on their own. Add your social handles and your agent watches for new posts that match a deal, adds the link to the card and moves the deal to Posted. Turn on auto-share and it emails the brand the link too.

‍

The big idea: your data, your agent

Most creator tools want you to move your business into their app. Track My Dealflow works the other way around.

Your deals, contracts and reminders are saved as plain files in your own Fulcra account. Nobody else sees them unless you share. Because they’re yours, any agent you connect to Fulcra can read and update them: Claude, ChatGPT, or whatever you use. The app gives your agent a short set of instructions, and you set it up with one message:

“Read the Track My Dealflow instructions at https://track-my-dealflow.my.fulcra.ai/agent.md and use them from now on to track all incoming deals, manage my deal flow and support my content creator business. Set up a scheduled task to check it twice a day.”

From then on, you can just ask: “What’s due this week?”, “Who still owes me?”, “Does this offer clash with my exclusivity deals?”, “Move Juice Lab to Posted.”

One honest note: the app can’t watch your social accounts, send email or add to your calendar on its own. Your agent does those with whatever access you’ve given it, so each one works only if your agent can reach that service.

‍

How we built it

Track My Dealflow started as a question. We had just built a Creator Desk for Fulcra’s own creator program, where our team tracks the creators we work with. Could we build the reverse: a place where creators track the brands they work with?

We built it with Claude and Fulcra’s open-source build-and-deploy-a-web-app skill. The skill starts every app from a Fulcra template with sign-in already working, deploys it to a my.fulcra.ai address, and makes the agent build in small milestones. Each one is built, put live, and tested on the real site before the next starts. Every step is logged to a build dashboard, so you can see what was tested and what passed.

  1. Working baseline. The app on its own address with Fulcra sign-in and the build dashboard.
  2. The look. We went through three designs in an afternoon: a neon “Gen Alpha” arcade look (too hard to read), a clean black-and-white one (too boring), and the one we kept, with candy-colored deal cards and an XP-style progress bar.
  3. The deals board. Add, edit, move and delete deals, saved to your Fulcra account.
  4. Contract reading. Your agent reads the contract, not the app, so there’s no AI key in the app and no extra cost.
  5. Brands on Fulcra. Deals brands share with you appear automatically, read-only.
  6. Reminders and send to brand. Calendar reminders and emails your agent sends for you.
  7. Posts land on their own. Your agent watches your socials and updates the board.

The future is personal and private.

Fulcra was designed by people who get privacy and know the importance of an infrastructure solution that can be the secure private datastore for the rest of your life. Here data is yours, under your control, and only shared with the people and tools you choose to share it with.
